Knowledge Management (KM)

Cleverex Systems has successfully integrated and deployed numerous KM systems, including a very high profile system called Early Childhood Learning and Knowledge Center (ECLKC) for the Office of Head Start, Department of Health and Human Services. This project has successfully demonstrated a joint effort between Cleverex and our strategic partner Hyperwave, a leading KM platform provider.

Our team managers and players are fully aware of the challenges in implementing a KM system. Many related issues must be addressed, and most of these are not related to the technology. Instead, they are related to the people and process issues within the organization. A Cleverex KM team would offer a structured approach to deploying a KM system. Achieving this outcome is a considerable change management challenge, one that requires a range of activities to be addressed.

The purpose of a KM project is rarely to just install the KM system. Instead, the overall goals of the project would include:

• Improve the design or structure of the site
• Ensure the content is up-to-date and accurate
• Improve the effectiveness of the site
• Reduce duplication of content
• Improve content management processes

While a KM system acts as an enabler for meeting these broader goals, it won't automatically achieve them. Instead, people and process activities will effectively help meeting these goals.

In practice, however, a successful KM project must address a wide range of issues. Failing to address any one of these areas will significantly impact upon the effectiveness of the project as a whole. Our experience has shown that there are five key elements that must be addressed in a KM project:

• Strategy
• Architecture and design
• Change management
• Communications
• Technology

These elements outlined are by no means comprehensive or complete, each organization will require a unique mix of activities. Ensure that sufficient planning time is allocated early in the project to identify the activities required for successful deployment.
